Patients and medical alerts

A name is enough to register someone in seconds; the rest follows later — the alternate phone, a guardian for children, where the family is staying now, and a file number carrying the device prefix. Search is Arabic-aware: it ignores diacritics and tatweel, treats the forms of alef as one letter, matches ة with ه, and reads Eastern digits as Western ones.

  • A medical history from the clinic’s own questions: diabetes, blood pressure, heart disease, bleeding disorders, pregnancy, asthma, epilepsy, liver and kidney disease, smoking
  • Any positive answer or recorded allergy raises a red badge in the patient header, on the appointment card and on the prescription screen
  • The patient’s balance shows in the patient list, on the appointment card and in the queue
  • Patients are archived, never deleted, and merging two duplicate files keeps every visit and invoice

The tooth chart and treatment plans

The chart is built from dated events that are added and never edited, and a tooth’s current state is derived from them. That keeps the whole clinical history, and it lets two devices’ edits on the same patient merge with no conflict.

  • FDI numbering: permanent 11–48, primary 51–85, chosen by age with a manual switch
  • A fixed list of conditions: caries, filling, crown, bridge, root canal, implant, missing, extracted, extraction indicated, impacted, fractured, mobile, veneer, sealant
  • Surfaces are selectable for caries and restorations, and anything that applies to an arch is recorded on an area rather than a tooth
  • A treatment plan with prices and times, marked urgent, normal or optional, printable as an estimate on the clinic’s letterhead

Visits and prescriptions

A visit starts from an appointment or from the queue and ends in procedures that become invoice lines. A procedure that has an effect on the chart, such as an extraction, records the tooth event by itself.

  • Chief complaint, clinical notes, diagnosis, next-visit instructions and a follow-up date
  • Anaesthesia and carpules, blood pressure and pulse where they matter
  • A visit stays editable for seven days, then locks, and corrections are added as dated addenda
  • A prescription is a draft until it is issued, and prints right-to-left in Arabic with the dentist’s name and licence number

Appointments and the walk-in queue

A column per dentist on a laptop and a plain agenda on a phone. People who arrive without an appointment get their own queue, with the waiting time in view.

  • Booking outside working hours or on a closure date warns and asks for confirmation
  • A clash on one dentist’s time is blocked unless the clinic allows overlaps
  • Cancelling asks for a reason, and rescheduling keeps the history
  • At the end of the day the app offers to mark the appointments nobody came to as no-shows

Billing, payments, debts and installments

Money is records that are added and never erased. An invoice locks when it is issued, and a correction means voiding it with a reason and issuing another. A payment is never edited or deleted; a mistake is corrected by a reversing entry with a reason.

  • Partial payments, and a payment with no open invoice becomes patient credit the next invoice uses
  • A debtors list with aging buckets: 0–30, 31–60, 61–90 and over 90 days
  • Installments with amounts and due dates, and anything overdue on the dashboard
  • A daily cash report by method and receiver, and a day close against the counted cash
  • Amounts are whole minor units, so no half-agora ever goes missing in a decimal

Inventory

Stock is the sum of movements that are never erased: receive, consume, adjust with a reason, and waste. If two devices consume the same item while offline the stock can go negative; Dentr flags it for correction rather than blocking the work.

  • Consumables, medications and instruments, each with a unit and a minimum level
  • A low-stock alert at the minimum, and an expiry alert for batches due within 60 days
  • A stocktake that takes the counted quantities and writes the adjustments

Reports

The day-to-day reports are computed on the device from the local copy, so they work offline; long-range analytics are computed on the server.

  • Income by day or month, and by dentist, service and payment method
  • Debts with aging, dentist productivity, bookings and no-shows
  • CSV export and print

SMS reminders

SMS is optional per clinic and paid from that clinic’s own credit balance. All of it is sent from the server: a device never sends a message itself.

  • A reminder the day before at an hour you choose, and one on the day a few hours ahead
  • Quiet hours hold messages until the morning
  • Templates in Arabic and English with a preview and a live segment and credit count
  • A message never carries a clinical detail, and never goes to a patient who has opted out
  • A message that finally fails has its credits refunded

Devices, permissions and the shared-PC lock

One machine at the front desk, several people using it. Each of them unlocks it with their own PIN, and every change is recorded against the person who actually made it.

  • A 4 to 6 digit PIN unlocks the device offline, with an idle lock you set
  • Five wrong attempts force a full online sign-in; the data stays, but stays closed
  • Four fixed roles that stack: clinic admin, dentist, receptionist, accountant
  • A list of the clinic’s devices and each one’s last sync; revoking a device wipes its copy at its next connection
  • Signing out is blocked while changes are still waiting to send, and the count is shown

Arabic and English, Western or Eastern digits

Arabic is the default and the layout is right-to-left; English is available per user. Number fields accept ٠١٢٣ and 0123 alike and store Western digits, and the display follows the clinic’s setting.

  • Dates as day/month/year, time in 12 or 24 hour format, always in the clinic’s time zone
  • Print templates in Arabic: invoice, receipt, prescription, treatment estimate, patient summary, cash report, day list
  • Every string in the interface is translatable
